Email distribution lists

01 February 2010

Advice concerning the use of all-staff, all-student and departmental distribution lists.

Departmental email distribution groups are automatically generated and maintained by Computing and Information Services. These groups take the form of  <department-code>-staff (e.g. cmp-staff and fin-staff)

The information used to control the membership of these distribution groups is automatically taken directly from the HR database. It includes all permanent and temporary staff, including session lecturers and other casual staff.

This broad membership should be considered when using these distribution lists to send out information, particularly sensitive or confidential information.

The University provides a way to maintain individual distribution lists via its ListServer. Details of how to use this can be found by following the Help With Computers link on the homepage followed by the Online Forms and ListServer Setup Request links.

Communications with all LJMU staff and students

We also have an all-staff and an all-student email list which can be used to communicate important corporate information to staff and students. In order to email all staff or all students the communication must first be authorised by Corporate Communications (email communications@ljmu.ac.uk) and the email can then be sent out by the CIS Helpdesk. These email lists will only be used for essential communications. The usual way to publicise information or events to the wider LJMU community is through News Update and the weekly news bulletin (email newsupdate@ljmu.ac.uk to submit a news item).
