Q - Can Students see their un-moderated marks for individual assignments ?
A - Yes if we want them to. They would access these assignment marks via the 'Gradebook' link in the 'Student Center' within Self Service. There is a checkbox against each assignment in the instructor view of 'Gradebook' to indicate whether to show marks in the 'Student Center'. Final marks for the course can only be seen in the Student Center' once they have been 'graded', 'approved' by the assessment board and posted (post Assessment Board processing).
Q – Can feedback be provided to the students using Campus Solutions? In what format? Can attachments be stored against records in CS?
A - Feedback can be provided using a comments field against each student’s assignment mark. This is a free text field. Since Campus Solutions is not a document management system, attachments, such as word documents or audio files cannot be stored in CS. The Campus Solutions team is currently working with staff who support Blackboard to determine the process and procedures that each system will support in the future. Clear guidance will be provided to all staff.
Q - Are the communications generated within CS stored against records in CS?A - Communications generated from within CS are not physically stored against records only evidence that the communication was generated. However the communication can be recreated provided that the templates are not deleted or overwritten and the variable (student record) data (historical) has not been changed.
Q – Is there any way of highlighting to students that they are missing credit?A - Students can check if they have fullfilled the requirements of each stage of their programme via their individualised 'advisement report'. If required, we can also use reporting tools to identify students missing credit and then use the 3C's functionality to communicate with those students by email/letter or by adding a checklist item in their 'Student Center' ‘to do’ list.
Q - What is 'Term Activation'?A - 'Term Activation' is the process of informing the system that a student will be active within that academic year? It is necessary for tuition fee processing and enrolment upon classes.
Q - How will CS inform student access to other systems and services - e.g. account creation, library access etc?
A - The team are currently exploring a number of options and new features which could be used to trigger access to related systems and services via the existing Data Exchange System.
Q - What is Matriculation?
A - Matriculation is the process of accepting an application and creating a student record.
Q - How will the system handle non standard courses?A – A term will be created to handle most non-September start dates. In addition, the ‘OEE’ ‘Open enrolment, open exit’ function will be used to allow students who enrol throughout the academic term up until the last day of July.
Q - Will there be Campus Solutions training and on-line help for students?A - UPK is an on-line training facility which can be accessed from within the application. It has recently been successfully used to support the roll-out of the new HCM system ‘Staff Infobase’ . UPK training materials will be developed for Campus Solutions to support both the self-service and administration sides of the system. There will also be information available to new and continuing students upon enrolment registration. Staff will also be trained prior to go live, starting in July 2010, enabling them to both use the system and support students in using it too.
Q - Can we accommdate different offerings of the same course in the same term and session?A - Yes - different meeting patterns can be defined for each course, allowing larger cohorts of students to be sub-divided.
Q - Will the system be able to deliver students' individual exam timetables?A – If the data is collected and entered onto Campus Solutions in a timely manner then yes Campus Solutions can support individual student exam timetables, even taking into account special sittings.
Q - Do students have to self-enrol on core courses? Could this be automated?A - Students can enrol on core courses if we want them to - this may be useful where a large core course is offered multiple times during a week and we are wanting to offer the students a choice. Alternatively we may want to include enrolment on all courses as part of the re-registration process at the start of each academic year. However, this could also be automated.
Q – How will MODCAT relate to Campus Solutions?A – It is believed that all the information in MODCAT can be accommodated in CS therefore removing the need for a separate system. An on-line proforma will have to be developed to capture new module requests.
Q - How will external examiners access information about marks, grades and feedback?
A - Same way as they do now. However - at some point in the future , the University may consider investigating External Examiner access to self-service and 'Gradebook'.
Q - Can the system automatically produce referral letters/email?A – If we want it to. The system is capable of producing a communication to any student at any point in time based on any criteria.
Q - Will you be bringing deferred applicant records into Campus Solutions?A - Where applicants have been deferred following the standard process of updating the year of entry with UCAS or GTTR, applicant records will be picked up as normal in the 2010 UCAS Cycle when importing UF records into Campus Solutions.Where applicants have not had their UCAS or GTTR record deferred correctly and have only been SUSPENDED (or similar) on OSS a few days after arriving, they will need to be RPA'd onto the current UCAS cycle. This is because:1. they need to be included in recruitment statistics bearing in mind our strict targets, and2. because only those students who have been returned to HESA will have their student records transferred across so anyone who left before the census return will not be included
