Enrolment and Exception Reports
To support SMG and Faculties in monitoring student enrolments a number of reports are produced and published on a weekly basis from mid-September each academic year. The report use the same criteria used to produce the student number-related statutory returns which inform funding and performance indicators/statistical analysis.The summaries described below can be considered alongside more detailed information made available on the Academic Planning Team Website – list of fully enrolled students and counts of students on modules - and also alongside the exception reports monitoring data quality (missing fields and conflicting data values).
All Year Summary, Year 1 Summary
This contains counts and FTE totals of all enrolled students. To be counted as an enrolled student the student must be on OSS with;
- A ‘Course Attempt Status’ of ‘Enrolled’
- A ‘Unit Set Attempt Statu s’ of ‘Enrolled’
- Have 0910 units attached to the ‘Unit Set’ with a ‘Unit Attempt Status’ of the following
- ‘ENROLLED’
- ‘DUPLICATE’
- ‘UNCONFIRM’ – this status is removed early November as all students Unit attempts should be enrolled by then and ‘UNCONFIRM’ unit attempts are not used to inform statutory returns
- ‘COMPLETED’
- ‘ENROLLED’
- ‘DUPLICATE’
- ‘UNCONFIRM’ – this status is removed early November as all students Unit attempts should be enrolled by then and ‘UNCONFIRM’ unit attempts are not used to inform statutory returns
- ‘COMPLETED’
Only students meeting these 3 criteria are countable as enrolled.
All Year Summary Fee Eligible Only
This includes students who are eligible to pay a tuition fee. These are a subset of the All Year Summary and Year 1 Summary students with the added criteria that the students must;
-
A ‘Fee Category’ that is not one of the following types
- DEFERRAL
- EXCHANGE
- STAFF
- ADMIN
- Erasmus e.g. UG_ERAS

At least 1 of the units attached to the Units Set is not class ‘Z’ and not class ‘History’
Only students meeting the original ‘enrolled student’ criteria and these 2 extra criteria are countable as enrolled and fee eligible.
New Fee Structure Students Summary
This includes students who are eligible to pay a new fee structure fee, i.e. students who started there course 2006 or afterwards and are eligible to pay the new fees. These are a subset of the ‘All Year Summary Fee Eligible Only’ students with the added criteria that the students must;

Be on Year 1 or 2 of the course

Be HEFCE or TDA funded with a ‘Post 2006’ type residency
or
be an Overseas or Island student with a ‘Post 2006’ type residency and studying on a PGCE course
Only students meeting all 7 criteria are countable as enrolled and fee eligible and new fee structure.
Exception Reports
The aim should be to get a full, valid and accurate data set for each student and their programme attempt entered onto OSS at the earliest possible opportunity and before the 9th November.
During the Enrolment Monitoring period the following exception reports will also be run by API and pblished to the WebHub. Please see the WebHub for exception reports, each of which has an expaation of the report and how to fix exceptins.
If, as a result of these reports any changes need to be made on OSS it is the responsibly of the Student Zones to make any necessary changes for new entrants and Faculty Administrative staff to make any changes for all other years.
